It is the list of work that still doesn’t match the plans and specs when a job is nearly done, and until it’s closed, the owner usually keeps your retainage.

Most builders don’t lose money on the big phases. They lose it in the last stretch of the job: return trips for a missing outlet cover, a chipped countertop nobody owned, a client walkthrough that turns into a 90-item list. A clear punch list process keeps that tail short.

This guide covers what a punch list is, what to put on each item, a step-by-step process, a room-by-room checklist, and the mistakes that drag closeout out for weeks. You can also download our free punch list template (Excel) and start using it on your next walkthrough.

Download free punch list template (Excel + printable PDF)

What is a punch list in construction?

A punch list is a document listing work that is incomplete, damaged, or doesn’t conform to the contract drawings and specifications near the end of a construction project. The contractor must fix every item before the job is considered fully complete and final payment is released. Outside the US it’s often called a snag list.

On commercial jobs using AIA contracts, the process is spelled out. Under AIA A201 Section 9.8.2, when the contractor believes the work is substantially complete, it prepares a comprehensive list of items to be completed or corrected and submits it to the architect. The architect then inspects to confirm substantial completion, and the punch list is typically attached to the Certificate of Substantial Completion. On residential and remodeling jobs the process is less formal, but the idea is the same: you, the client, and sometimes the designer walk the job and agree on what’s left.

Who creates it? Usually the general contractor or builder, often after their own internal walkthrough. The owner, architect or designer adds items during their inspection. Subcontractors then fix the items assigned to their trade.

When? Traditionally at substantial completion, the point where the building can be used for its intended purpose. Many builders now start earlier and punch each phase or room as it finishes (see “rolling punch list” below).

Why is it called a punch list? One common explanation is that contractors once punched a hole in the margin next to each item on a paper list when it was done. Two copies were punched so the architect and contractor kept matching records.

Punch list or punchlist? Both spellings are used. “Punch list” (two words) is more common in contracts and dictionaries.

Punch list vs. snag list, deficiency list and closeout checklist

These terms overlap, which is why clients and subs mix them up. Here’s how they differ.

Term

What it covers

When it’s used

Punch list

Incomplete, damaged or non-conforming work that must be fixed before final completion

Substantial completion, or room by room as work finishes

Snag list

Same thing; the common term in the UK, Ireland, Australia and the Middle East

Same

Deficiency list

Work that fails specs, code or quality standards; often comes from an inspector or owner’s rep

Any inspection, including mid-project

Closeout checklist

Administrative handover: warranties, manuals, as-builts, lien waivers, final inspections, keys

After the punch list is cleared

Warranty list

Defects the client reports after move-in

During the warranty period, usually the first year

The key difference: a punch list is about physical work on site. The closeout checklist is about paperwork and handover. Catch the obvious items yourself so the client’s list is short. A short client list builds trust; a long one invites them to look harder.

Walk room by room, in the same order every time. Start at the front door and move clockwise, top to bottom: ceiling, walls, trim, floor, fixtures, then systems. Use the checklist below so nothing gets skipped.

Log every item on the spot, with a photo. Write the location and the fix, tag the trade, and take a photo. Don’t rely on memory or painter’s tape alone. Tape falls off and doesn’t tell anyone who owns the item.

Do the client walkthrough. Walk with the owner (and architect or designer, if there is one). Add their items to the same list, not a separate one. Confirm which items are in scope; anything new is a change order, not a punch item.

Agree on the list and get it signed. Share the full list with the client and get written sign-off that it’s complete. This caps the list and stops new items from appearing every visit.

Assign each item and set due dates. Send each sub only their items, grouped by location, with photos and a due date. Schedule trades in a sensible order: drywall and paint before final clean, electrical before trim-out touch-ups.

Track progress and verify every fix. Subs mark items “ready for review”, but only you or the client close them. Re-inspect, take an “after” photo, and reopen anything that isn’t right.

Close out and collect. When every item is closed, get the client’s final sign-off, attach the signed list to your closeout package, and invoice for final payment and retainage.

Most delays happen between steps 6 and 7, when items sit with a sub waiting for a return trip.
